Tax season can be a hectic time for businesses, with multiple forms to file and deadlines to meet. Missing these deadlines can result in penalties and added stress. To help you stay on track, this blog will guide you through the process of e-filing essential tax forms like 1099, W-2, and ACA, and explain how to file for extensions if needed. 

1099 Forms 

The 1099 form is used to report various types of income other than wages, salaries, and tips. Businesses must file 1099 forms with the IRS and provide copies to recipients. E-filing these forms is a quick and efficient way to ensure compliance and avoid penalties. 

E-filing Deadline: March 31, 2025 

 

1099-MISC (if not reporting nonemployee compensation in box 7)

  • Used to report miscellaneous income such as rents, royalties, and prizes.  
  • Fill in the recipient’s name, address, TIN, and the amount paid. 

 

1099-DIV

  • Reports dividends and distributions.  
  • Include the recipient’s name, address, TIN, and the amount of dividends paid. 

 

1099-INT  

  • Reports interest income.  
  • Fill in the recipient’s name, address, TIN, and the amount of interest paid. 

 

1099-R –  

  • Used for distributions from pensions, annuities, retirement plans, IRAs, and insurance contracts.  
  • Include the recipient’s name, address, TIN, and the distribution amount. 

 

1099-K (for states participating in the Combined Federal/State Filing Program)

  • Reports payments from payment card and third-party network transactions.  
  • Fill in the recipient’s name, address, TIN, and the gross amount of payment transactions. 

 

1099-B 

  • Reports proceeds from broker and barter exchange transactions.  
  • Include the recipient’s name, address, TIN, and the gross proceeds from transactions. 

 

1099-G 

  • Reports certain government payments such as unemployment compensation and state tax refunds.  
  • Fill in the recipient’s name, address, TIN, and the amount of payment. 

 

1099-C 

  • Used for cancellation of debt.  
  • Include the recipient’s name, address, TIN, and the amount of debt canceled. 

 

1099-OID 

  • Reports original issue discount.  
  • Fill in the recipient’s name, address, TIN, and the amount of OID. 

 

1099-SA 

  • Reports distributions from an HSA, Archer MSA, or Medicare Advantage MSA.  
  • Include the recipient’s name, address, TIN, and the distribution amount. 

 

1099-Q 

  • Reports payments from qualified education programs (529 plans).  
  • Fill in the recipient’s name, address, TIN, and the amount distributed. 

 

1099-PATR 

  • Reports taxable distributions received from cooperatives.  
  • Include the recipient’s name, address, TIN, and the amount of patronage dividends. 

 

1099-A 

  • Reports acquisition or abandonment of secured property.  
  • Fill in the recipient’s name, address, TIN, and the amount of debt outstanding. 

 

1099-LTC 

  • Reports long-term care and accelerated death benefits.  
  • Include the recipient’s name, address, TIN, and the amount of benefits paid. 

 

W-2G 

  • Reports gambling winnings. 
  • Fill in the recipient’s name, address, TIN, and the amount of winnings. 

 

1098 Forms 

1098 forms are used to report various types of payments and transactions related to education, mortgage interest, and other financial activities. These forms are essential for both taxpayers and institutions to ensure accurate reporting and compliance with IRS regulations. 

E-filing Deadline: March 31, 2025

 

Form 1098- E

  • Reports interest of $600 or more paid on qualified student loans. 
  • Details to Fill: Borrower’s name, address, TIN, and the amount of student loan interest received. 

 

Form 1098-C 

  • Form 1098-C is used to report contributions of motor vehicles, boats, and airplanes to charitable organizations. This form is essential for donors who wish to claim a deduction for their contributions 
  • Key details to fill in are donor’s information, vehicle details (make, model, year, and VIN), date of contribution, gross proceeds, and certification. 

 

Form 1098-T

  • It is used by institutions to report qualified tuition and related expenses paid by students.
  • Details to Fill: Student’s name, address, TIN, amounts paid for qualified tuition and related expenses, and scholarships or grants received.

 

ACA Forms

The Affordable Care Act (ACA) requires certain employers to file forms 1095-B and 1095-C to report health coverage information. These forms must be filed with the IRS and provided to employees.

E-filing Deadline: March 31, 2025

 

Form 1095-B

The 1095-B form is used by businesses with fewer than 50 employees to confirm they are offering healthcare coverage to their full-time workers. Only employees covered by the plan need to be included on this form. 

 

Form 1095-C

The 1095-C form, like the 1095-B, is used by Applicable Large Employers (ALEs) with more than 50 employees to report that they are providing healthcare coverage. Unlike the 1095-B, the 1095-C must be filed for all employees, regardless of if they are covered or not.

 

Filing Extension Forms 

If you need more time to file your tax forms, you can file for an extension.

Form 8809

Form 8809 can be used to request an extension for filing 1099, W-2, and ACA forms. Filing for an extension gives you extra time to gather necessary information and ensure accurate reporting.
